Open Call Terms and Conditions

Fabula Works, a French company, organises photography open calls for exhibitions held at Millepiani Gallery in Rome, Italy. Anyone aged 18 or older may apply to open calls, from any country.

Submissions must include 10 to 25 photographs taken within the last 10 years, and must be original photographs taken by the applicant, presented in one single PDF file. Fully AI-generated images are not allowed. Light retouching (including AI-assisted editing) is permitted if based on the applicant’s own photographs. Submissions must be made through the official platform before the deadline, in English or French. The submission fee is €25 and is non-refundable.

Selections are made at the discretion of Fabula Works and Millepiani Gallery. If selected, photographers will be contacted by email around six weeks before the exhibition and must provide high-resolution files within 10 days. If the artist does not respond after reasonable contact attempts, the offer may be withdrawn.

Printing and gallery production costs are covered by the Organiser and Gallery. Selected artists cover their own travel, accommodation, visa fees, and travel/medical insurance if they choose to attend. Artists may keep their prints after the exhibition, with shipping fees applying.

Applicants keep full copyright of their work, but by submitting they grant Fabula Works and Millepiani Gallery permission to use submitted images for exhibition-related promotion (website, social media, catalogues, etc.). The Organiser and Gallery may crop or format images as needed while respecting the integrity of the work.

Personal data is handled according to the Privacy Policy. These terms are governed by French law, and disputes fall under the jurisdiction of French courts.

ORGANISER & GALLERY

The photography open calls are organised by Fabula Works (the Organiser) for exhibitions to be held within Millepiani Gallery (the Gallery).

Fabula Works is a company registered under French law.

Millepiani Gallery operates within Millepiani Coworking, an association for social promotion (APS), registered under RUNTS number 99687 (Registro Unico Nazionale del Terzo Settore).

ELIGIBILITY & SUBMISSIONS

Who can apply?

Any living person aged 18 or older on the day of application may apply, regardless of country of residence and nationality.

What kind of works can be submitted?

All photographic genres are eligible. Photographs must be captured within ten (10) years prior to the open call deadline. All submissions must be photographs originally captured by the applicant using a camera (including, without limitation, SLR, DSLR, mirrorless, smartphones, toy cameras, drone-based cameras). Images created entirely by artificial intelligence without human photographic authorship are prohibited and will be disqualified. Applicants may apply digital or AI-assisted retouching or enhancement to their own photographs for aesthetic purposes only.

How many works can be submitted?

Each submission must include 10 to 25 photographs, presented within one single PDF file; if more than 25 photographs are submitted, only the first 25 will be considered.

When and where to submit works?

Open calls close at 23:59:59 CET (Central European Time) on the stated deadline. All entries must be submitted via the official submission platform on the Organiser’s website. Any submissions received by other methods, by email for example, will not be considered. Submissions may be in English or French.

Are there any fees?

Yes, a non-refundable contribution of €25 (euro) per submission is required. Each submission must include a payment receipt. A submission is considered complete once the Organiser successfully matches it with payment. The Organiser and Gallery are not responsible for technical failures beyond their reasonable control, including but not limited to payment gateway errors or hosting platform failures.

Can the same submission be made to future open calls?

Yes, each open call corresponds to a specific exhibition cycle and constitutes an independent application. Applicants seeking consideration for multiple exhibitions must submit separate applications. Resubmission of the same portfolio across calls is permitted.

Are collective submissions accepted?

Yes, collective submissions by two or more artists are accepted if collaborators can demonstrate an established, ongoing collaboration and a cohesive body of work developed prior to the call.

How are works selected?

Selection of entries is at the sole discretion of the Organiser and Gallery, based on artistic merit, curatorial judgment, and, where applicable, pertinence to the theme. The Organiser and Gallery reserve the right to present a solo exhibition where a submission demonstrates exceptional artistic merit and a distinct vision. Curatorial decisions are final, and the Organiser and Gallery are not required to provide individual feedback regarding selection.

Applicants will not receive individual confirmation emails of receipt of submission. Proof of receipt is based solely on the Organiser’s platform and payment records. The Organiser and Gallery shall not be liable for any damage, loss, or injury sustained in connection with participation, except in cases of wilful misconduct or gross negligence. By submitting an entry, applicants agree to be bound by these Terms and Conditions, and the Organiser and Gallery reserve the right to reject any entry that does not comply.

SPECIFIC RULES FOR SELECTED ARTISTS

How are selected photographers notified?

Selected photographers will be notified by email approximately six (6) weeks before the exhibition opening.

File requirement for selected photographers

High-resolution digital files (JPEG or TIFF, without watermarks, signatures, or borders) must be submitted within ten (10) calendar days of notification to proceed with printing. In general, each photograph will be printed on a surface of 70 × 50 cm, with an optional white margin. Ideally, files should allow printing within a 40 × 60 cm image area, unless intentionally smaller. Failure to meet this file submission deadline, or failure to respond after reasonable contact attempts within this timeframe, may result in withdrawal of the offer and selection of an alternate artist.

Will I be notified if I’m not selected?

The names of selected photographers will be published on the Organiser’s website once digital files are received; this is the sole method of communicating selection results. Applicants not selected will not be notified.

Who pays for the expenses related to the exhibition?

Exhibition production costs, including printing and gallery expenses, shall be borne by the Organiser and Gallery. Selected photographers shall be solely responsible for all costs and expenses associated with any attendance at the exhibition, including, without limitation, travel, accommodation, visa fees, and travel and medical insurance. Attendance at the opening or any portion of the exhibition is not a requirement for selection, nor is it compulsory; however, the Organiser and Gallery would be delighted to welcome the selected photographers in person. Selection as a photographer shall not be construed as creating an employment relationship between the selected artist, the Organiser, or the Gallery. The selected artist shall remain an independent party in all respects.

Can selected photographers keep their prints after the exhibition?

Yes, they can. A service fee ranging from €80–€180 applies for shipment of prints to a selected artist’s address after the exhibition. The exact price will depend on the destination, packing method, printing material and number of prints. Payment to the Organiser is required before the exhibition concludes. Alternatively, prints may be collected in person during the Gallery’s opening hours by appointment at no additional cost. Uncollected prints will be destroyed 4 months after the exhibition end date.

The Organiser and Gallery assume no responsibility for loss, damage, or deterioration of prints during storage, display, shipment, or once collected by the artist, except in cases of wilful misconduct or gross negligence.

What would happen if a selected photographer withdraws after confirmation?

Participation in the exhibition is considered confirmed once the selected photographer has submitted the required high-resolution files and acknowledged participation by email. After confirmation, the photographer may not withdraw from the exhibition except in cases of force majeure or other serious and unforeseen circumstances accepted by the Organiser.

In the event of withdrawal after such preparations have begun, the photographer shall reimburse the Organiser for all reasonable and documented costs already incurred in connection with the exhibition. These may include, without limitation, print production expenses and promotional costs directly related to the photographer’s participation. Fabula Works reserves the right to invoice such costs to the photographer.

INTELLECTUAL PROPERTY & USE OF MATERIALS

Third-Party Rights and Consents

All submitted works remain the copyright of the applicant. Applicants warrant that their works are original and do not infringe third-party rights, and agree to indemnify and hold harmless the Organiser and Gallery from any claims or losses arising from a breach of these terms. Applicants also warrant that all persons depicted have provided consent, or, in the case of minors or vulnerable adults, that consent has been obtained from a parent or legal guardian. This does not restrict street photography where consent is not required under applicable law. Applicants are solely responsible for ensuring their submission complies with all applicable laws in their jurisdiction before submission.

License Grant and Permitted Use

By submitting, applicants grant the Organiser and Gallery a non-exclusive, royalty-free, worldwide license to use, reproduce, display, and distribute the works for promotional purposes related to the exhibition, including websites, catalogues, social media, advertising, and multimedia content. Works may be cropped, resized, adapted, or incorporated into multimedia or collaged formats. Applicants will be credited whenever reasonably possible. 

Copyright remains with the author, and applicants agree not to assert their moral rights, insofar as permitted under French law, to the extent necessary to allow the Organiser and Gallery to use the works for the purposes described above, including cropping, resizing, and formatting for exhibition and promotional purposes, provided that the integrity of the work is respected. The Organiser and Gallery make no guarantees regarding display, timing, or results and are not liable for technical or unforeseen issues. Credit may be omitted where providing it is impractical.

This license remains valid for as long as reasonably necessary for the promotion and documentation of the Organiser’s exhibitions and related activities, unless expressly withdrawn in writing by the applicant.

ETHICS

By submitting an entry, applicants warrant that no humans or animals were harmed or subjected to unethical, abusive, or non-consensual manipulation in the creation of the work.

The Organiser and Gallery reserve the right to disqualify, remove, suspend, or replace any displayed photograph if it is brought to their attention that a selected photographer has engaged in fraudulent, unethical, illegal, or otherwise inappropriate conduct, or if the work violates these Terms and Conditions.

UPDATES TO TERMS & CONDITIONS

Updated versions will take effect upon publication on this page and will apply to future submissions. Submissions made prior to publication remain governed by the version in effect at the time of submission.

The Organiser and Gallery are not liable for delays or failures due to events beyond their reasonable control, including natural disasters, strikes, technical failures, pandemics, or governmental actions. They may postpone, modify, or cancel the exhibition or open call, and will use reasonable efforts to reschedule whenever possible.

These Terms and Conditions are governed by French law. Any dispute arising from or related to these Terms and Conditions shall be submitted to the exclusive jurisdiction of the competent courts of France.
